History Factory is seeking a part-time Project Coordinator to help support our growing agency. This hands-on, detail driven role is responsible for reviewing and maintaining all active project schedules, identification of resource utilization issues, and coordination with Account Managers (AMs) and Directors to resolve resource bottlenecks and project schedule conflicts. This role will require experience working with project management software - competency in Workamajig specifically is a plus.
Responsibilities
- For new projects, create detailed project schedules in coordination with the project working team. Required schedule data will include tasks, start and end dates, resources working on tasks and their associated hours to do so
- For existing projects, meet with individual AM’s weekly to update project schedules in accordance with above data. Project Coordinator will be informed of submissions, delays in work and other schedule impacting items by the AM, and are not responsible for seeking out this information on their own
- Looking across all projects, flag schedule conflicts as they arise and meet with respective department heads to resolve
- Notify AM’s when resources are on track to exceed allocated hours
- Monitor overall progress for resourcing bottlenecks and meet weekly w/ directors and AMs to determine resourcing solutions
- Appropriately escalate any significant issues to the correct and applicable account, creative and management team as needed.
- Support department heads in maintaining projections for team utilization on an ongoing basis
- Assist with troubleshooting, updates and rollouts of new and/or updated project management tool features that benefit the company
- Attend weekly meetings as required to complete above tasks
- Above tasks will be performed across approximately 30-40 active projects with varying levels of complexity.
Qualifications
- Bachelor’s degree or equivalent experience is required.
- Understand the creative process and comfort with various creative disciplines/mediums (design, video, written, etc.)
- Minimum 3 years in a marketing or communications agency with project/traffic management experience across a variety of mediums.
- Excellent written and verbal communication skills.
- Strong working knowledge of project management platforms such as Workamajig
- Exceptionally detail-oriented, able to multi-task and prioritize activities.
- Self-starter with strong initiative.
- Ability to thrive in a highly matrixed, fast-paced and demanding environment while managing multiple priorities simultaneously.
- Advanced knowledge of waterfall and Agile PM methodology.
- Intellectually curious
- PMP certification or equivalent encouraged
Compensation:
This is a part time role with a budgeted rate of $50 per hour and will not exceed 20 hours of work per week. Invoices can be submitted and paid bi-weekly.
